Tenaya has an immediate need for an Executive Assistant to provide administrative support to C-level executives with both day-to-day tasks and longer-term projects. The ideal candidate is a self-starter and problem-solver who will work closely with all levels of the organization to drive the company’s future success. This is a highly visible role that requires excellent judgement, attention to detail, high touch execution and efficient communication.

Responsibilities
- Provides administrative support to 3-4 senior executives, including managing calendars.
- Anticipates and prioritizes needs. Keeps minutes and tracks follow-through.
- Makes travel arrangements for senior executives.
- Creates and track expense reports, ensuring records are kept for accounting compliance.
- Handles information and details of highly confidential and critical matters that require exquisite judgement, discretion, and poise.
- Prepares office or other venues for meetings and events, and hosts in-office visitors, including Scientific Advisory Board, Clinical Advisory Board, All Hands, company events, and BOD.
- May prepare presentation materials for board of director meetings.
- Makes high-level contacts of a sensitive nature inside and outside the company.
- Works on projects as assigned; uses good judgement in gathering, organizing and presenting information.
- Manages projects independently; plans & solves problems using available resources.
- Collaborates with legal and finance team for submitting contracts and requisitions.
- Assist with medical conference, which includes registration, secure hotel block, and make travel arrangements.

Requirements
- 5+ years’ experience in working for C-level executives at a startup.

- Highly skilled with technology tools including (and not limited to): web apps, MS Office, MS TEAMS, MS Project and applications, such as SmartSheets, Zoom, etc
