Job Description

This position will provide escalated call center and administrative support to the Facilities Management Team including, but not limited to Call Center Operations, work request flow/ prioritization, coordination of vendor and supplier services, maintaining business records, providing reports and spreadsheets, and assisting in the review and presentation of Operations initiatives.

  • Facilities Call Center Operations – Receive work requests, the process in the work request system, and assign the request to the appropriate work crew with a due date.

  • Support the Facilities department with external contacts and administrative support as needed.

  • Maintain the Facilities Intranet pages.

  • Maintain formal documentation for Facilities such as building leases, maintenance records, facility specifications, drawings, and records.

  • Assist in the tracking and submission of regulatory compliance documents with city and county government, including licensing and permits for capital projects.

  • Assist in the coordination of onboarding/departure processing, office moves, and associated services, including space planning.

  • Assist with space planning rolling summaries and location maps and directories.

  • Handles sensitive and confidential documents and information responsibly and with integrity

  • Assist with site security/front desk receptionist role, as needed.

  • Provide conference room support to include room set-up requirements, supplies, and clean up as needed.

  • Follow up and coordinate with vendors, suppliers, and service providers on outstanding tasks campus-wide.

  • Oversee the kitchen and break room operation which includes a snack program, vending program, clean utensil supply management, and product stocking.

  • Track and reconcile departmental credit card transactions and payments.

 Required Experience, Skills, and Education:

  • High school diploma or general education degree (GED) and 4 years of related experience; or,

  • AA degree in related discipline and two years of related experience; or,

  • May require certification in assigned area.

  • Typically requires a minimum of two years of related experience and/or a combination of experience and education/training.

  • Prioritizes workloads and manages priority conflicts for individual work.

  • Must have strong interpersonal skills and the ability to work in a team environment.

  • Applies acquired job skills and company policies/procedures to complete tasks.

  • Reads and interprets documents, as needed for the job.

  • MS Office; Word, Excel, PowerPoint, and Outlook.

  • Limited use of technical principles, theories, and concepts.

  • Develops solutions to routine problems of limited scope.

  • Provides excellent customer service with a high level of organizational skills in managing multiple tasks simultaneously.

  • Works independently with minimal regular direct supervision.

  • Demonstrates ability to work and communicate professionally, verbally, and in written form with internal and external customers.

  • Handles sensitive and confidential documents and information responsibly and with integrity.

  • Ability to speak English and Spanish preferred (Bilingual).


  • Works on problems of moderate to diverse scope where analysis of data may require evaluation of identifiable factors.

  • Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

  • Develops relationships with senior internal and external personnel in the area of expertise.

  • Resolves a wide range of issues in creative ways and/or uses a combination of applied company procedures.
